Data has big value and have to be kept secure. This has
given much discussion and opinions of for/against the use of AI in translation.
Agencies often fence their systems (and express mistrust), and force their
translators and linguist to stay within their borders. This limits our freedom
as skilled and responsible freelance translators (even without our VAT
number). You wil miss creativity, quality workarounds, automation, innovation
and time saving as well as value adding in your process.
How do I use OpenAI to handle translation, copywriting,
editing, analysis and other language work in my activity, when I use my tools? How do I keep the
data safe?
The answer is simple: I use an OpenAI API linked to some
proprietary tools. I (not the system owner or agency) own the key to the API. Then OpenAI will not exploit my data - or your data - for
learning. OpenAI says: When you use OpenAI's API, your data will not be
used to train their models. OpenAI has confirmed that API requests are private
and that they do not use data from API users to improve or train their models.
You can find this mentioned in their official security
documentation or API terms.
If you are working with sensitive or confidential
data, the API is the safest way to use OpenAI’s models without the risk of your
data being used for machine learning.
This means I as a translator have to comply with the the EU
AI ACT, to handle your data in a responsible way, to have a GDPR and to inform
you about how I handle your data.
As the AI EU ACT is valid from now, here are five
essential points on why translators should observe the EU AI Act,
focusing on the translation process and customer data protection:
Data
Privacy and Confidentiality Translators must ensure that client
data remains private and is not used for AI training without consent.
If using AI tools, check whether they store or reuse translations,
especially when handling sensitive documents (e.g., legal, medical,
business contracts).
Transparency
in AI Use If AI-assisted translation is used (e.g., machine
translation or AI-generated suggestions), clients should be informed. The
EU AI Act emphasizes transparency, so customers should know when AI
is involved in their projects.
Human
Oversight and Responsibility AI tools can make mistakes, misinterpret
context, or introduce bias. Translators remain responsible for ensuring accuracy,
cultural appropriateness, and compliance with professional standards.
AI is a tool, not a replacement for human judgment.
Avoiding
High-Risk AI Applications Certain translations, such as legal or
immigration documents, must meet strict regulations. The EU AI Act
places restrictions on high-risk AI applications, meaning translators
should be cautious when using AI tools for official, legally binding
texts.
Complying
with AI and Data Security Standards When working with AI tools, choose
platforms that follow EU regulations on data security. Ensure that
AI translation tools do not store or share sensitive client
information without permission, in line with GDPR and AI Act guidelines.
There are great advantages to using AI and human processes together
in assuring quality, terminology and time, and I as a translator am constantly
learning new methods and tools.

QC is an integrated part of the localization process. AI tools may be more efficienteffficient to find bugs.
Many
consider not choosing AI because they are afraid or convinced their materials
are being revealed to others accidentally as they create content. Or on
purpose by competitor analysis.
But texts you write or upload are either not copied, or end up in a billion
words library together with everything else, used for overall training, but not
in a database with exact texts. More methods, workarounds, it is an overall
process, not an exact copy. This training is being used for future LLM versions
1-2 years later, So what many say: just hurry, go ahead and do your
stuff. In
public administration in Denmark AI is not being used, however municipalities
like Vejle Kommune have their very own ChatGPT.
